  1. How does the BarMaxx system work? BarMaxx is a complete cradle-to-grave, free-pour liquor inventory system. When a bottle arrives in the store room, it is tagged with a Radio Frequency Identification (RFID) chip and activated via the BarMaxx registration device. The chip stores all relevant bottle data (brand, flavor, size), and allows the system to uniquely identify that bottle. Sensors track the bottle from the moment it leaves the shelf in the store room, to the moment it gets checked into the system again as the bottle is placed on BarMaxx’s network of scales in your bar. The scale reads the data from the RFID chip and monitors the contents of the bottle from that instant on, 24/7, and down to a fraction of an ounce. When an irregularity happens – such as a bottle goes missing, or a wrong bottle gets puts on a scale – the system alerts you, and cameras record the incident, pin-pointing the irregularity down to the precise venue location and the person responsible. Finally, the BarMaxx software collects data from the system and transforms it into management-relevant, easy-to-read information that gives you a real-time picture of your bar’s activities and puts the power of informed decision-making at your fingertips.

  4. Do I have to be on site to access my bar’s data? Absolutely not. You can access your data via the internet or from your smart phone from any location, at any time, anywhere in the world. We know there’s a beach chair somewhere with your name on it…
  5. Is the system compatible with my point of sales (POS)? The BarMaxx system has already been interfaced with several popular POS systems (Micros, Aloha, POSiTouch, POSlavu) and we are constantly working on adding more POS brands to our roster. If you have a custom-tailored POS system – no problem! We can create an interface to link with our system in a cinch.
  6. What type of reporting does the system deliver?

    The type and amount of reports our system can generate are unmatched in the industry. Examples are:

    • Management Summary Reports: After every shift, an automatic PDF report is generated to give an overview of drinks poured versus drinks billed; any irregularities that may have popped up (under & overpouring, missing or unauthorized inventory, unbilled items), and an analysis of errors generated by your POS system. If you suspect that something is going on that needs your immediate attention, this report can also be initiated at any time during a shift. Over several weeks time, these reports allow you to see what your most-poured liquors are, and which are just taking up space on your shelves – and allow you to run drink specials to get rid of that dead stock in favor of liquor that sells!
    • Restocking Reports: This is an automatic weekly PDF report that shows you exactly how many bottles of each brand are available (both in your bar and stock room), what your set restocking limit is for each liquor, and whether or not your current inventory is below or near your set limit.
    • Bottle Reports: Every week, this concise automatic PDF report tells you exactly how much liquor you have left in your open bottles (down to the precise shot!), and how many more full bottles you have in your stock room as a backup.
    • Irregularity Reports: Need an overview of the total irregularities that occurred in your bar last week? The BarMaxx system delivers on-demand reports that allow you to take control over your cash flow and take action to correct irregularities in your bar’s operations, whether they’re related to staffing or operations.
  7. Does the system tell me when I have to re-order? Yes! You can define a minimum required stock for every liquor, and the BarMaxx system will flag low levels and send you a detailed report you can use for weekly re-orders.
  8. Can the system track the pouring habits of my staff? Yes. With our Online-Bar-Live-Ticker and Online-Barview features, you can see what is going on in your bar in real time, even if you are not currently on site or are otherwise busy.
  9. Does a bartender have to change the way he/she pours a drink? No. Our system will not interfere in any fashion with the way a bartender pours or handles a bottle. However, it will tell you if the correct amount has been poured, and if the corresponding amount has being billed into the POS correctly.
  10. How does the system recognize the difference between alcohol poured straight, or in a cocktail? Our software interface allows you to enter the ingredients of all your custom cocktails into a recipe database. The BarMaxx system then distinguishes a straight-poured shot from a mixed cocktail by aligning the alcohol(s) poured to the most likely cocktail posted to your POS.
  11. Can the system be cheated? We’re tempted to say NO, but being experienced former F&B managers, we know you can’t underestimate the creativity of your staff. However, the system can easily detect 90% of all liquor inventory manipulations. For example:
    • Backpour: Our system will detect any irregular influx of liquor
    • Non-registered bottles: The system flags all unregistered bottles
    • Missing Bottles: Registered bottles can be given a designated time by which they have to be placed back on a scale after being removed. If they are not put back, they are flagged as missing until replaced.
  12. Who registers the bottle? Registering a bottle into stock is generally done by the bar back, but overseen by the purchasing or F&B manager.
  13. Can I re-use the RFID chips? Yes. Once a bottle is empty and taken out of stock, the chip connected to it can be reused.
  14. Can backup bottles be recognized by the system and included in the inventory? Yes, our system can be setup to recognize active and passive stock.
  15. How can I register a new liquor to my bar inventory? The BarMaxx system has a pre-programmed database with the bar codes of more than 300 different liquors. Want to add that new Vodka flavor to your own custom database? No problem. Adding new types and brands of liquor are only a few keystrokes away. Plus we are always working diligently to keep our dynamic database updated with the newest flavors and liquors so you don’t have to.
  16. Do I still need to do inventory manually? No, you don’t have to. We recommend a visual check-up every so often, but the BarMaxx system tracks every single bottle from the moment it hits your store room to the moment it pours its last drop.
  17. I have several bars in my venue. Can I transfer a bottle from one bar to another? Yes. BarMaxx can interface all bars in one location so shifting stock can be identified by the system.
  18. How are my speed rails configured with the BarMaxx system? We offer beautifully and functionally-designed custom speed rails to ensure perfect reading of your high traffic bottles, while retaining the look and functionality of your bar.
  19. How robust is the system, overall? Very robust! We have literally gone to bat on our system. We use only the highest-grade materials for the production of our scales, and have tested all of our hardware with excessive force to ensure durability and longevity of your BarMaxx system.
  20. Can it be broken? Anything can be broken. But if our system breaks, you will know that it was done so with intent.
  21. Is your system susceptible to moisture, sugar, or alcohol? To protect the BarMaxx scales’ electronic elements and circuits, the unit is completely sealed. Plus, our speed rails have a clever run-off system for liquids to prevent moisture from accumulating and compromising the system.
  22. Do I have to spend time and money on training my staff? Your bar staff will only need a quick training session on how to maintain and clean certain elements of the hardware. They do not have to be trained to actually use the BarMaxx system, because the system does not require their effort to function.
  23. How much does the BarMaxx system cost? This depends on the size of your bar and other specifications. Contact us now and we will be happy to have a chat with you, answer any and all questions, and give you a quote. We have two options available including: full purchase and leasing models. Due to the steep loss prevention the BarMaxx system affords, most systems are amortized in 4-6 months.
  24. How long does the BarMaxx system take to install in my bar? This depends on the size of your bar/venue, the number of bottles you keep, and a small variety of other factors. Preliminary work according to your specifications may vary, but our active installation time ranges from a few hours to a few days, and is always done at a time that’s most convenient to you and presents the least amount of interruption to your bar operations.
  25. How does leasing work? The lease periods we offer range between 2 and 5 years, with a set interest rate. You fully own the system after that.
  26. How about maintenance? Due to its well-engineered and robust nature, our system hardly requires any maintenance. But we are happy to maintain your system on a contract, or work with the system integrator of your choice.
